Information for current, previous and prospective candidates

1. Who we are and purpose of this notice

Smart Connect Solutions S.R.L. ("SCS") is the data controller for the recruitment activities described here. This notice explains how SCS processes personal data when identifying, contacting, assessing and introducing candidates for recruitment assignments.

2. Data we process and where it comes from

We may process your name and professional contact details; CV and professional-profile information; employment history, education, qualifications, skills, languages and publicly stated achievements; location, availability, work preferences and compensation expectations where relevant; correspondence, interview notes and human recruitment assessments.

Data may come directly from you or from professional and publicly accessible sources such as LinkedIn, company websites, professional directories and conference materials, as well as referrals or hiring clients. We do not intentionally collect or infer special-category data for candidate assessment; please avoid providing such information unless genuinely necessary and legally relevant.

Where data are obtained indirectly, we provide this information within the applicable GDPR timeframe and, where relevant, at first communication or before the first disclosure of your identifiable profile.

 

3. Why we process data and our legal basis

We process candidate data to identify and assess potential candidates, communicate about opportunities, arrange interviews, maintain recruitment records and introduce suitable candidates to hiring clients. Our main legal basis for proactive sourcing and recruitment assessment is our legitimate interest in providing recruitment services and helping clients identify suitable professional candidates, balanced against candidates' rights and reasonable expectations. Where appropriate, we may rely on another legal basis, such as a legal obligation or optional consent.

 

4. Sharing your data

We may share relevant data with hiring clients, service providers supporting our recruitment/communications/cloud/IT processes, professional advisers, or public authorities where legally required. SCS does not normally send an identifiable candidate profile merely for market calibration; we normally inform the candidate before presenting an identifiable profile to a hiring client. A hiring client may act as a separate data controller for its own recruitment process.

 

5. AI-supported tools

SCS may use AI-supported tools to assist recruiters with organising and summarising professional information, structuring recruitment notes, preparing interviews, and supporting analysis or drafting. AI outputs remain subject to human review and do not independently determine candidate progression or selection. SCS does not instruct AI tools to infer protected or sensitive characteristics or perform emotion recognition for candidate assessment.

 

6. International transfers

Some technology or service providers may process personal data outside the European Economic Area. Where required, SCS uses an applicable lawful transfer mechanism, such as an adequacy decision or appropriate safeguards including standard contractual clauses. Contact us for further information about safeguards applicable to relevant transfers.

 

7. Retention

During an active recruitment process, SCS may retain the records needed to run that process. Afterwards, detailed records are kept only as long as reasonably necessary, taking account of the recruitment purpose, relevant follow-up, legal or contractual obligations and periods in which legal claims may need to be established, exercised or defended. When detailed records are no longer needed, they are deleted or, where a continuing and justified recruitment interest remains, reduced to a limited candidate-relationship record that is periodically reviewed and further minimised or deleted when no longer necessary or accurate. If you object to contact or processing based on legitimate interests, SCS may retain a minimal suppression record to respect that preference.

 

8. Right to object

When processing relies on legitimate interests, you may object at any time based on your particular situation: info@smart-connect.world.

 

9. Your rights

You may request access, rectification, erasure, restriction and, where applicable, portability; withdraw consent where applicable; and complain to a competent supervisory authority.
